An AI-Powered Backend That Lets a GC Run His Business From Email
We built Vesta 360 Custom Exteriors a central operations platform with AI document processing. It's now Jeff's main tool for project management, budget building, and financial reconciliation — and he can feed it by simply emailing documents, tasks, and instructions.
The Challenge
Jeff Guarino runs Vesta 360 Custom Exteriors, a residential general contractor in New Jersey. Like most GCs, his business ran on email, QuickBooks, bank feeds, and spreadsheets — each in its own silo.
Estimates came in via email. Expenses lived in QuickBooks. Bank transactions sat in their bank feed. The "system of record" was a sprawling multi-tab spreadsheet that only Jeff fully understood. Every week, he'd sit down to manually cross-reference estimates against contracts, match bank transactions to jobs, and update spreadsheets with labor costs, design documents, and task progress.
The real problem wasn't just the hours lost — it was the bottleneck. Jeff was the only person who could reconcile the data, which meant every financial decision waited on him. He couldn't easily see the true status of a job without doing a full manual reconciliation. And with multiple active projects, the backlog only grew.
The Solution
We designed and built a central operations platform that serves as the hub for Jeff's business. Instead of bouncing between spreadsheets, QuickBooks, email, and bank feeds, everything lives in one place — and Jeff can feed the system by simply emailing documents and instructions.
AI-Powered Email Interface:
- Jeff forwards emails and the AI parses estimates, contracts, change orders, and vendor documents automatically
- He can also email instructions to create tasks, events, and reminders tied to specific jobs
- AI classifies and routes everything to the correct project — no manual filing
- Key data points (amounts, dates, scope details) are extracted and structured automatically
Project Management & Financial Operations:
- Per-job task tracking, budget building, and project notes
- QuickBooks connection pulls expenses and categorizes them by job
- Bank feed integration matches transactions to projects automatically
- Financial summary across all active projects — budget vs. actual, at a glance
The platform doesn't replace Jeff's judgment — it eliminates the hours of data gathering and manual reconciliation so he can focus on running jobs. What used to require opening five tabs and cross-referencing spreadsheets now lives in a single dashboard.
